Deleting Accounts

To delete an account (customer, supplier, part, gl account or asset) first go into the appropriate maintenance menu and select the account.

Now select the "Delete" button.

To delete accounts which haven't been used for a long time use the Delete Unused Accounts option.

Notes

Accounts cannot be deleted if they contain a non-zero balance (or quantity).
Accounts cannot be deleted if they contain active purchase or sales orders.
Parts cannot be deleted if they are on an active stock take.
Parts cannot be deleted if they are on an active warranty claim.
Customers cannot be deleted if they have active quotes, returns or warranty claims.
Suppliers cannot be deleted if they are the main supplier for some active parts.

Deleted Accounts

If an account contains no transactions then it is physically deleted and cannot be re-instated.

If an account contains transaction history then it will only be flagged as deleted. The account will be suppressed from enquiry and maintenance screens and you won't be able to enter further transactions for this account.

An account that has been flagged as deleted will still appear on historical reports. A deleted account can also be re-instated by a level 9 user via the account maintenance option, you will have to enter the exact part/account number to bring it up.
